Setting up PandaDoc: templates, CRM sync, and signing flow
Implementation is the hands-on build: templates with variable fields and conditional blocks, a content library structured around your approved language and pricing, roles and permissions matching who's allowed to send or approve, and the CRM integration that creates or updates documents from deal records.
We configure the signing flow itself — signer roles and order, which fields are required before a document can be marked complete, and, where relevant, the payment collection step at signature — and test it against real sample deals before your team relies on it.
What we build first
We start with the two or three templates covering the bulk of your document volume, using conditional content blocks so one template handles multiple scenarios instead of forking into near-duplicates, and wire the CRM connection so document status — sent, viewed, signed — flows back to the deal record automatically.
We set up approval routing to match your real sign-off chain, configure reminder and escalation rules for stalled documents, and connect the completion webhook to whatever system needs to know when a document is signed, whether that's your CRM, ERP, a Slack channel, or a Zapier flow.
How we validate it
Before rollout, we run real sample deals end to end — draft, internal approval, send, view tracking, signature, and payment if applicable — to catch broken variable mappings, missing required fields, or approval routing that doesn't match who actually needs to sign off.
We also check the content library for stale or unapproved language before go-live, since a rushed implementation often ships with copy that was never meant to be reused.
