Implementation: setting up a Todoist workspace that holds up

Implementation starts with the plan tier, since it determines what's even possible: Business for a team rollout with an admin console, centralized billing, and role management, or Pro for a smaller team or individual that just needs reminders, unlimited-feeling project counts, and filters beyond the Free plan's 5-project cap. Getting this right up front avoids a mid-rollout plan migration.

Next we design the actual structure: projects and sections that match how your team really organizes work (by client, by initiative, by team, rarely all three at once without getting messy), a consistent label taxonomy for cross-project grouping, and an agreed convention for the P1 through P4 priority levels so "urgent" means the same thing to everyone using the workspace. We build this from a handful of real projects, not a theoretical template, and adjust once people are actually using it.

We then configure the integrations that matter most in practice: two-way Google Calendar or Outlook Calendar sync so due dates show up where people already look, the Gmail or Outlook plugin for turning emails directly into tasks, and Slack notifications if that's where your team lives day to day. Recurring due dates get set up for genuinely repeating work using Todoist's natural-language parser, so nobody has to remember to recreate a weekly task by hand.

For team rollouts, we use the Business admin console to invite users, assign roles, and set up shared project templates that new team members or new clients can be duplicated from, so onboarding a new project doesn't mean rebuilding the structure from scratch every time.

What you get

A working Todoist workspace with a project and label structure your team actually helped design, calendar and email integrations configured, recurring tasks set up correctly, and, for Business plans, an admin console ready to onboard new users with the right role and template already in place.
