The Automation Xero Actually Ships
Xero’s built-in automation is intentionally narrow: bank rules that auto-categorise transactions by matching payee text, amount, or description; repeating invoices for recurring billing; scheduled invoice reminders; and Hubdoc rules that auto-publish captured bills once they match a pattern you’ve approved. These are rules-based, not adaptive — a bank rule matches exactly what you tell it to match, and it needs updating by hand when a supplier’s statement description changes.
There’s no native workflow builder inside Xero for multi-step, cross-app automation. If you want “when an invoice is marked paid, update the CRM and notify the account manager,” that has to happen outside Xero, through its public REST API and OAuth2 connections — typically via Zapier, Make, or Workato, or a dedicated approvals app like ApprovalMax where Xero’s own basic user/approver permissions aren’t granular enough.
Our job is to build the automation Xero genuinely supports well — bank rules tuned to your actual transaction patterns, repeating invoice schedules that match your billing cycle, Hubdoc capture rules for your regular suppliers — and then bridge the rest through the API rather than pretending Xero has an orchestration engine it doesn’t.
What shapes the build
Xero’s chart of accounts and tracking-category structure — up to two tracking categories per organisation — set the boundaries for what a bank rule or repeating invoice can actually do, so we design the automation around that data model rather than around a wish list. Where third-party automation touches Xero, we work within its API rate limits and OAuth2 scopes so nothing breaks a live ledger.
