Septic playbook · Dispatch

Dispatch and route planning for septic companies

Pump-outs, inspections, aerobic maintenance visits and repairs land on one schedule, scattered across several counties. We set up Housecall Pro so the day is built around where the job is and what kind of job it is, not who called first.

Running with our septic partner

We run dispatch and route planning with our septic partner. This page describes the approach in general terms; your counties, crews and job mix will differ.

The problem

Why septic schedules fall apart

A pump-out, a real estate inspection, a recurring aerobic maintenance visit and a drain-field repair take different amounts of time, need different equipment and are often booked days apart in the same county. Scheduled in the order calls arrive, they send technicians across a county and back.

Fuel and drive time are the cost nobody sees on an invoice. Rural addresses, gates, hard-to-find tanks and last-minute add-ons make a thin schedule thinner. Dispatch is where that cost is either controlled or created.

What we do

What we set up

Job types that match your work

Separate job types for pump-out, inspection, aerobic maintenance and repair, each with a realistic duration, so the calendar shows real capacity.

Areas and service days

Group counties or zones and steer booking so each area has days when you are already going there.

Technician matching

Who runs which job type, who has the truck for it and who is qualified to inspect, written down and reflected in how jobs are assigned.

A daily route check

A repeatable look at tomorrow's jobs, sorted by area, before technicians leave. Where your process calls for stronger route ordering, we add a routing step alongside Housecall Pro.

Notes that travel with the job

Tank location, access notes, gate details and last-visit findings on the job, so the technician does not call the office from the driveway.

Rules for same-day and emergency calls

Where an urgent job fits, what it bumps and who decides, so one call does not wreck the day.

Measure it

What to look at every week

  • Jobs completed per technician per day
  • Drive time compared with time on site
  • How many days stay inside one area
  • Same-day reschedules and why
  • Jobs booked without access notes
  • Open slots that could have been filled by an area already being visited
How it works
  1. Review how you dispatch todayWe watch a normal week: how jobs are booked, who assigns them and where time is lost.
  2. Define job types and areasWe agree durations, zones and technician rules with the people who actually run the schedule.
  3. Configure and testWe set up Housecall Pro, run a real week through it and fix what does not fit.
  4. Train and reviewWe train dispatch and field staff, then look at the weekly numbers with you after a few weeks.

FAQ

Questions about this playbook

Do you replace Housecall Pro scheduling?

No. We configure Housecall Pro's scheduling and dispatch around how a septic company works and, where useful, add a routing step alongside it.

Can you plan routes across several counties?

In principle yes: group jobs by zone and day, then order the day's stops. How much of that can be automated depends on your plan and tools, and we tell you before we build anything.

How do emergency calls fit in?

We write simple rules for them: where they fit, what they bump and who decides. That protects the rest of the schedule.

What if we do not use Housecall Pro?

Our septic work centers on Housecall Pro. If you use something else, tell us and we will say honestly whether the approach carries over.
