From inspection findings to a drafted repair estimate
A septic inspection ends with a list of what is wrong. Turning that list into a priced estimate usually happens later, at a desk, from notes and photos. We are building a workflow where the technician picks what is broken from a list and the estimate is drafted for the office to review.
In development with a septic partner. This is what we are building, not a finished product you can buy today. If it fits your shop, tell us and we will say honestly where it stands.
Where the time goes after the inspection
The technician writes findings on site. Later the office retypes them for the customer, looks up parts and labor, builds an estimate and, separately, fills in whatever the county or state expects. The same facts are typed two or three times, and each retype is a chance for a missed item.
Meanwhile the customer is waiting. An estimate that arrives days after the visit competes with whoever answered faster.
How the workflow is designed
1. Pick broken items from a list
On site the technician selects what failed from a standard list for the system type, for example the aerator or compressor, spray heads, control panel, alarm, float or pump.
2. A SOAP-style note per issue
Each selected item gets a short note in Subjective, Objective, Assessment, Plan form: what the customer reported, what was observed, what it likely means and what is recommended. The technician confirms or edits it.
3. Parts and labor from your price book
Each issue maps to parts and labor lines in your Housecall Pro price book, so the estimate uses your prices instead of guesses.
4. Estimate drafted in Housecall Pro
A draft estimate lands in Housecall Pro for the office to review, adjust and send. The design keeps a person in the loop; nothing goes to a customer automatically.
5. Findings captured once
Because findings are structured, the same data is meant to feed the report your inspector or regulator expects, instead of being typed again.
What would tell you it is working
- Time from inspection finished to estimate sent
- Estimates drafted without the office retyping notes
- Items on the price book that techs cannot find in the list
- Estimates approved, declined or still open after a week
- Edits the office makes to drafted notes and lines
Inspection, permitting and reporting requirements differ by state and county. We do not give regulatory advice, and your inspector or regulator decides what is required.
- Build the item listWe turn your real inspection items and common repairs into a pick list by system type.
- Map items to the price bookEvery item gets parts and labor lines you approve, so drafted estimates use your numbers.
- Pilot on real inspectionsA few technicians use it on live jobs while the office reviews every draft.
- Tune and widenWe change the list, wording and mappings from what the office edits, then roll it out.
We are building this with a septic partner. It is not generally available, and we do not publish results from it yet.
Questions about this playbook
Is this live?
No. It is in development with a septic partner. We describe the design here so you can see where it is going. If you are interested, book a free business evaluation and we will tell you where it stands.
Will AI send estimates to my customers?
No. The design drafts a note and an estimate for your office to review, change and send. A person approves every estimate.
Does it need Housecall Pro?
The estimate step is built for Housecall Pro and uses its price book, so a clean price book matters. We can help clean one up first.
Does it fill in county or state inspection forms?
That is an aim, not a promise. Requirements differ by state and county. We would confirm the specific form with you first and capture findings in a structured way so they can feed your report.
