Housecall Pro automation for septic shops

The office should not retype the same customer details four times or remember who needs a call. We connect Housecall Pro to your website, phone and email so the routine steps of a septic business happen on their own, and a person handles the rest.

Available setup

This is a setup we offer. What we can build depends on your Housecall Pro plan, and we say so before recommending anything that needs an upgrade.

The problem

What eats an office day

A form lead arrives by email and gets typed into Housecall Pro. An estimate goes out and nobody chases it. A job closes and no one asks for a review. Each step is small; together they are most of a day.

Automation is not about replacing the office. It is about stopping the same twenty small tasks from depending on someone remembering them.

What we do

Automations we commonly build

Website leads straight in

A form or booking request creates the customer and lead in Housecall Pro with the right tags and lead source, and the office is notified.

Estimate follow-up

A day-by-day routine for open estimates that stops when the customer replies, with a saved view for the office.

Review requests after completed jobs

A message sent when a job is marked complete.

Maintenance renewals

Reminders ahead of contract end dates, with a weekly list of what is expiring.

Inspection hand-offs

When an inspection is completed, create the follow-up task or draft the repair estimate, with a person reviewing.

Reports for the owner

A short weekly summary of leads, estimates, jobs and reviews.

Measure it

What to check before automating

  • Job types, tags and lead sources are consistent
  • The price book matches what you actually charge
  • You know which Housecall Pro plan features you have, including API access
  • Someone owns each exception queue
  • Messages are in your voice and approved by you

Consultants In A Box is independent and not affiliated with Housecall Pro. API access and some features depend on your plan.

How it works
  1. Pick the first routineWe choose the one that saves the most time with the least risk, often lead capture or estimate follow-up.
  2. Clean the inputsWe tidy job types, tags and the price book so automations behave.
  3. Build and test with real jobsWe set it up, run live examples and fix what does not fit before it goes on.
  4. MonitorWe watch for failures and review the results with you, then add the next routine.
FAQ

Questions about this playbook

What can we automate without extra software?

Housecall Pro has built-in reminders, follow-up and recurring features depending on your plan. We start with those and add outside tools only where they fall short.

Do you need API access?

Not always. Some automations use built-in features or forms; deeper ones use the API, which depends on your plan. We say what your plan supports first.

Will customers get messages from a bot?

Messages follow wording you approve. Replies go to a person, and sensitive situations such as complaints are never answered automatically.

Where can I read more about Housecall Pro help?
